Zeitworks

Overview:
Leveraging the momentum around RPA, I co-founded Zeitworks in 2019 to deliver a process analytics platform. Using machine learning our continuous, end-point monitors allowed us to provide both an accurate end-to-end model of business processes with zero-disruption. Integrations with out customer’s finance and HR solutions allowed for real-time costing analytics. With our process maps, customers could both optimize their processes, on-boarding, and technologies, as well prioritize which processes to automate.

Responsibilities:

  • Co-founder, sole Designer & PM

  • Defined and drove product vision and detailed roadmap, use cases, wireframes and detailed requirements.

  • Co-led fundraising for our initial $4m seed round.

  • Co-led BD efforts and successfully delivered four pilots. The first 4-week pilot identified $28m in improvement opportunities and a path to a path to 48% Efficiency Ratio.

  • Co-led recruiting, including CEO, CTO, and engineering team (at peak 11 FTE’s).

  • Managed remote team of developers in India for the first 6 months. 

  • Pitched VC’s for seed funding

Personalized Customer Portal

Zeitworks provides managers and business analysts with detailed insights to their business processes. Often times business processes are not well documented, let alone instrumented. This means there is no data allowing businesses to know if they are making money or loosing money on their back office processes.

Zeitworks Process Dashboards are end-user configurable, allowing organizations to track specific metrics and KPIs. Trending data allows managers to know at an instant if they are making progress or if there are is an issues requiring attention.

Each process is broken down into its individual steps, including which team members do that step, which apps are used, the total time and costs, as well as the average time and cost for each repetition.

In addition to being a co-founder, I was responsible for the user experience design of all the dashboards and admin consoles, including navigation, design system and visualizations. Each dashboard was user tested and feedback was collected throughout our pilot phase with each customer.

Process Map

A key deliverable for Zeitworks are Process Maps.

These maps allow analysts to clearly see both the “happy path” for each process, as well as the variances that occur. The maps are automatically build by Zeitworks analytics tools, but they can be edited by the customer to rename, add or remove steps from the process.

The maps were designed to allow the user to expand or collapse the maps to displace more or less detail. It is also possible to chain processes together using the map editor to track processes that are cross-organizational. Likewise non-digital steps in the process (ie. manual reviews, or wet-signings, etc.) can also be included these process maps.

Admin Console

In addition a robust set of Admin tools are included allowing organizations discrete control from each sensor, through access to dashboards and reports.

Admins could also set-up block lists, allowing them to exclude specific apps or websites from being tracked.

Process Discovery

One of the most powerful capabilities of Zeitworks is its ability to discover new processes. While managers may have a high level understanding of what their teams do everyday, there will always be new things for them to learn. Whether its an employee who created their own workarounds and shortcuts, or legacy processes that are still required but taken for granted.

When a new process is discovered, Zeitworks will display what it know about the process, including screen shots, keywords, the people who appear to doing the process, the frequency they perform the process and the time they spend in different applications to complete the process.

Analysts can then use this information to learn more about the process. If they choose to formalize the process, Zeitworks can then calculate the costing information, as well as begin tracking best practices, and recommend ways to optimize the process.
